Overview
This guide walks you through how to update an existing Quote Template in Wingmate. You will learn how to edit a downloaded template in Microsoft Word, re-upload it through the Update Template modal, add a description, choose an output file type, and confirm the changes.
What is a Quote Template?
A Quote Template is a pre-built proposal document stored in Wingmate that your sales team can generate and send to leads with a single click. Each template is a Word (.docx) file that uses dynamic field tags — such as {{lead.identifier}}, {{lead.owner}}, and {{total | currency}} — to automatically populate lead and deal information at the time of generation.
Updating a template allows you to refresh the document's content, branding, or field tags while keeping all of its existing settings (name, file type, signature options, and notification preferences) intact. Once updated, any new documents generated from that template will use the latest version of your file.
Step 1: Edit the Template in Microsoft Word
Start by opening your previously downloaded Quote Template in Microsoft Word. The template uses dynamic field tags such as {{lead.identifier}}, {{lead.owner}}, and {{lead.owner_email}} That auto-populates with lead data when a document is generated.
Scroll through the document to review all pages. Page 2 onwards contains the customer account information section, a pricing table with fields like {{lp.name}}, {{lp.price | currency}}, and totals rows.
Make your desired edits. Update branding, content, layout, or field tags as needed. When finished, save the file with a clear name (e.g., ProposalUpdated) so it is easy to find when uploading.

Switch back to Wingmate in your browser. Click the gear icon (⚙) in the left-hand navigation bar to open the Admin Console.
Step 3: Open Quote Templates
In the Admin Console, scroll down to the EasyDocs section and click Quote Templates.
You will see your list of existing templates. Find the template you want to update.
Step 4: Open the Update Template Modal
Hover over the template card and click the three-dot menu (⋯) that appears in the bottom-right corner of the card.
Step 5: Upload the Updated File
In the Update Template modal, click Choose File to open your file browser.
Navigate to your Downloads folder (or wherever you saved the edited file), select the updated .docx file, and click Open.
The filename will appear next to the Choose File button, confirming the file is ready to upload.
Step 6: Add a Description
Optionally, enter a Description for the template. This is an internal note visible to your team in the template card. For example: Proposal for Waste Services.
Step 7: Choose the Output File Type
Under File Type, select how the document should be generated when sent to a lead. Click the dropdown to choose between DOCX (editable Word document) and PDF (non-editable PDF).
Step 8: Confirm the Update
Once all settings look correct, click the Confirm button to save your changes.
The modal will close and you will be returned to the Quote Templates list. The updated template card will now show your new description and a refreshed Last Updated timestamp.
