EasyDocs: Download & Update Your Templates

Overview

This guide will walk you through managing Quote Templates in Wingmate. You will learn how to navigate to the Quote Templates section in the Admin Console, download an existing template to view or edit it, and upload an updated version back into Wingmate.

What are Quote Templates?

Quote Templates are pre-built proposal documents stored in Wingmate that your sales team can generate for leads. Each template is a Word (.docx) file that uses dynamic field tags — such as {{lead.identifier}}{{lead.owner}}, and {{total | currency}}  To automatically populate lead and deal information when a document is generated.

Admins can create, download, update, and manage these templates from the Admin Console, making it easy to keep your proposals branded and up to date.

 

Step 1: Navigate to the Admin Console

From your Wingmate pipeline, click the gear icon (⚙) in the left-hand navigation bar to open the Admin Console.

Step 2: Open Quote Templates

In the Admin Console, scroll down to the EasyDocs section and click on Quote Templates.

You will see a list of all your existing templates, each showing its name and last updated date. Templates can be toggled Active or Inactive using the toggle switch on each card.

Step 3: Download an Existing Template

To download a template so you can review or edit it, click the three-dot menu (⋯) on the template card you want to work with.

A dropdown will appear with two options: Download and Delete. Click Download.

The template will download as a .docx file to your computer. You can then open it in Microsoft Word to review or edit the content and dynamic tags.

Step 4: Review the Template in Word

Once downloaded, open the file in Microsoft Word. The template contains dynamic field tags that Wingmate uses to populate lead data automatically when generating a document.

Make any edits needed — you can update the layout, branding, content, or field tags. When you are finished, save the file.

Note: Do not remove or alter the dynamic tags (e.g. {{lead.identifier}}) unless you intend to change which fields auto-populate. Removing a required field tag may cause document generation to fail.

Step 5: Upload the Updated Template

Once your edits are saved, return to Quote Templates in the Admin Console. Click the document you would like to update.

The Update Template modal will open. It shows the template's current settings, including Name, Description, Lead Fields, File Type, and Signature options. Click Choose File at the top to select your updated .docx file.

Step 6: Confirm the Update

After selecting the file, you will see the filename appear next to the Choose File button, confirming your file is loaded. Review any other settings in the modal as needed, then click Confirm to save the updated template.

Your template is now updated in Wingmate. The next time a document is generated using this template, it will use the new version of your file.

Additional Options in the Update Template Modal

When updating a template, you can also adjust the following settings without re-uploading a file:

Name — The display name of the template shown on the card and in document generation.

Description — An optional internal description for your team.

Lead Fields — Required fields from the lead record used for document generation.

File Type — Choose whether the generated document is output as PDF or another format.

Request Signature — Toggle this on to enable DocuSign e-signature requests when the document is generated. Sub-options let you control whether unsigned documents can be shared and whether signed documents automatically save back to Wingmate.

CC Users — Select users who should be CC'd on document signature request emails.

Subscribed Users — Select users who should be notified whenever a document is generated from this template.
